Job Description

The Systems Administrator will be responsible for the end-to-end administration, support, maintenance, improvement and optimisation of our workforce planning platform. This role demands a deep understanding of systems, data integration, and process automation to ensure the platform operates efficiently and aligns with business objectives.

Your role will involve

  • Serve as the primary system administrator for all Workforce Planning toolset environments, ensuring platform stability, performance, and readiness for new releases.
  • Act as the technical liaison with the vendor to review service roadmaps, patch releases, and platform updates. Coordinate impact assessments and regression testing with internal stakeholders, adhering to HAL’s IT Change Control processes.
  • Design, implement, and maintain HAL-specific configurations, including custom objects, fields, workflows, and automation rules. Maintain comprehensive technical documentation covering system architecture, configurations, and operational procedures.
  • Continuously evaluate new platform features and enhancements. Conduct technical impact assessments and communicate implications to relevant stakeholders, ensuring alignment with business processes.
  • Support the delivery of enhancements by managing the technical evaluation, scoping, and implementation of new development requests.
  • Perform core administrative tasks including user provisioning, role-based access control, data security policies, and the creation of reports, dashboards, and automated workflows.
  • Provide technical support for escalated issues. Troubleshoot complex problems, coordinate with the vendor for resolution, and document root cause analyses and resolutions in the knowledge base.
  • Conduct regular system health checks, performance monitoring, and internal audits. Generate reports on uptime, incident trends, and system usage to inform operational decisions.
  • Manage and monitor data integrations between the Workforce Planning toolset and other enterprise systems. Ensure data integrity, synchronisation, and compliance with data governance standards.
  • Track and report on platform adoption metrics. Support onboarding and upskilling of users through training sessions, documentation, and knowledge-sharing initiatives.
  • Collaborate with business units, technical teams, and external partners to gather and document functional and technical requirements. Translate business needs into system configurations and enhancements.

Strong understanding of Workforce planning toolset best practices and functionality

Creative and analytical thinker with strong problem-solving skills

Must demonstrate ability to communicate effectively at all levels of the organisation

Strong attention to detail and high-quality expectation

Ability to assess the impact of new requirements on Workforce planning toolset and all upstream and downstream applications, systems and processes

Experience:

Good awareness of the IT cloud-based administration, community groups and associated technologies

Proven ability to design and implement new processes and facilitate user adoption

A demonstrated ability to understand and articulate complex requirements

Knowledge/Experience of GDPR

Track record of personal continuous improvement / development

Preferential:

Working Location

Our Hybrid working approach offers the opportunity for colleagues in some roles to work from home for an average of two days a week, providing the flexibility to work in an agile way whilst ensuring we deliver for the operational needs of Heathrow. Working arrangements vary from team to team and will be confirmed during the recruitment process. You’ll need to be based in the UK and within a commutable distance to Heathrow.
